1.How to set-up the Quotation Templates

To turn on the quotation template you need to go into Sales Configuration > Settings > Quoatation Templates.


After this, go to Sales > Configuration > Sales Orders > Quotation Templates and then click "New". 

You will need to fill the title for the Quotation Template, the validity, confirmation mail and invoicing journal.

The Quotation Template works by bringing to the Quotation pre-applied products, then, it applies some calculations to the other field within the Quotation lines, such as description, unit price, unit of measure and discount, to name a few. 


To do this calculations you will need to create a new Quote Calculator from this view, go ahead and click Create and Edit. 


Inside the spreadsheet you can create every calculation you need for the quote. The example that I bring is to create a Generic product, it needs 4 categories of calculations: 

  1. Cost of Materials
  2. Cost of Package
  3. Cost of labour
  4. Cost of Delivery and Extra Fees

Within Odoo Spreadsheets you can insert different information from the database to the calculator, for example, I can bring the list of Materials (Products) directly from the Inventory Module. To do this, go to Inventory > Products> Products, then click the list view and then Actions, then go to the section Spreadsheets and select "Insert list in spreadsheet". 


This will insert the information from the model into a Sheet in the Quotation Calculator. When you update your database, this information will update in the Spreadsheet too. 


After executing all the calculations you need including Margins and discount, you are ready to use your calculator. 


When the calculations are done and you are left with a final price, discount or description, it's time to sync it to the Sale Order. To do this go to the cell you would like to sync, then right-click the cell and go "Edit Sync" option. 


The Field syncing menu will appear. Here you will be able to sync the information from the Quotation Calculator to the Sale Order line. First, you can select the cell to sync, after this go to the Record to sync (position) option. From here, you will be able to to sync this specific value to a Order Line, if you are syncing the first position order line, the number should be 1; if you are syncing the second position order line, the number should be 2, etc. 

The third option is to select which field you want to fill, for example, Description, or Price Unit. 

  




2. How to use the Quotation Calculator

Go into the Sales module and create a quotation, select the Customer and then select the Quotation Template From the drop-down menu. 


By doing this, Odoo will automatically fill the Order Lines that you mapped for this Template and will create a smart button with quick access to the Calculator Spreadsheet. in the top of the screen. 


If you click the Smart Button, it will take you to a copy of the calculator where you can compute everything that you need. 


When you are done creating the calculations needed for the Quotation, press the button in the top left-side of the screen. 



This will automatically sync the price, description, discount or any of the fields you need into the quotation.
