When Icentia, a Quebec-based medtech company, set out to simplify heart monitoring for patients and doctors, they also needed a system that could simplify their own internal processes. Founded in 2012 by Pierre Paquet and Yannick LeDevehat, Icentia has become a pioneer in cardiac monitoring. The company developed the CardioSTAT, a portable ECG monitor that patients can wear for up to 14 days without wires. This extended monitoring allows doctors to gather more complete data on arrhythmia, leading to more accurate diagnoses.

With around 60 employees in Canada, and operations expanding to the UK and the US, Icentia is steadily building its presence in global markets.

The Struggles Before Odoo


Before implementing Odoo, Icentia relied on in-house applications, Google Sheets, and the accounting software Acomba. These disconnected systems made it difficult to keep track of inventory and created inefficiencies across teams.

Inventory was managed with internal tools and spreadsheets, while accounting was run separately in Acomba. As the business grew, errors became harder to control, and reporting lacked the consistency and automation they needed.

Odoo: A Turning Point for Efficiency


Icentia began searching for an ERP system in 2018. After testing a few options, the team chose Odoo because of its balance between features and cost.

"We did some research and found Odoo on the internet. We tested it, talked with people, and liked how it worked for our needs, and also the price value for what it could do."

Since then, Odoo has become a central tool for Icentia’s operations. The company uses Inventory, Purchase, Accounting, Sales, Manufacturing, and Contacts apps, with a focus on automation and integration. 

 Inventory efficiency: Before Odoo, physical inventory counts could take up to three days. With Odoo, the process now takes just one day. This is critical for a company managing a large and complex stock of medical devices and subproducts. 

 Accounting automation: Every inventory transaction automatically creates the corresponding accounting entry. Purchases and sales also generate accounting records instantly, cutting out repetitive work and saving valuable time.

 Simplified reconciliation: The Accounting app’s reconciliation tool makes closing books faster and easier. Icentia also values the automatic reports Odoo generates, such as trial balances and P&L statements, which are “well put and done correctly."

 Smart communication: Icentia leverages Odoo’s ability to send documents directly by email. With one click, a quotation or purchase order is shared with suppliers or clients, reducing redundant communication and keeping everything centralized.

 Dashboards for insights: Custom dashboards allow the team to quickly access the data they need, giving management better visibility on business performance.

What’s Next for Icentia?


Looking ahead, Icentia is focused on scaling its presence in the United States, an important growth market for the company. Expanding sales and operations south of the border will allow them to bring the benefits of their ECG technology to more patients and healthcare providers.

On the Odoo side, the company plans to revisit the Barcode app. While they tested it during the initial implementation, they found it complex at the time. Now, with more experience, they see barcode scanning as the next step to further streamline inventory management.
